First: Converting Sales Orders to Recurring Invoice Templates:

  • Begin by navigating to the Sales screen from the main menu by clicking on the Sales option. Then, a Invoice window will appear, where you will click on it.
  • When you are in the Invoice window, you need to select the link named ‘Sales Orders,’ which will allow you to access the page related to sales orders.
  • On this page, you will find an option to use filters, specifically ‘Date – …,’ which can be accessed by clicking on the filter icon located on the left side of the page. Using these filters, you can search for and query existing sales orders in the system.
  • With the help of these filters, you can easily view any existing sales order and review it before converting it into a delivery template. Additionally, you can edit any of the existing sales orders before converting them into a template.
  • Using these previous options, you can easily access the sales order you want to work with.
  • At the end of each sales order, you will find a button labeled ‘Template.’ When you click on this button, the process of converting the sales order into a recurring invoice template will begin. This template will make it easier for you to create sales invoices smoothly and efficiently.
  • If you need to create a new sales order before converting it into a delivery template, you can do so by returning to the ‘Sales Orders’ link and using the add option to create a new order and fill in its details.

  • Once you reach the ‘Invoices’ page, you will find a button labeled ‘Recurring Invoices’ at the top of the page. Click on this button to access the ‘Recurring Invoices’ page.

With these steps, you can easily access the ‘Recurring Invoices’ page, customize it as needed, and manage your recurring invoices efficiently.

 

Third: Options and Features of Recurring Invoices:

On this page, you will benefit from the variety of options and capabilities provided by recurring invoices to customize and manage your business efficiently. Here is an overview of these options:

  • Easily Add Invoice Templates: You can easily add recurring invoice templates, and we will explain this step in detail to ensure your complete understanding. If you wish to delete any template, you can do so easily from the Recurring Invoices management page.
  • Customize and Edit the Template: You have the ability to customize all aspects of the template according to your needs, whether it’s modifying the invoice recipient, setting the recurrence of invoices, or specifying the time interval between each invoice. You can do this through the Recurring Invoices management page.
  • Convenient Display of Invoices: The Recurring Invoices page displays a list of all created invoices. Invoices that need to be executed are highlighted in red, and a ‘Generate’ button is provided next to each invoice to facilitate the necessary actions.
  • Detailed Recurrence Information: The Recurring Invoices page provides comprehensive details about each recurring invoice template, including start and end dates, the last date of invoice generation, and other relevant information.

 

Fourth: Detailed Explanation of Setting Up a Recurring Invoice Template:

Once you click on ‘Manage Recurring Invoices,’ please follow these steps to set up a recurring invoice template:

  • Enter a description for the template in the description field. The description should be clear and reflect the nature of the template, for example, ‘Weekly Sales Invoice for Client A.’
  • Choose the appropriate format from the available filters. The filter will display all existing sales order templates to choose from.
  • Select the client to which the recurring invoices will be applied from the dropdown menu of available clients.
  • Choose the sales group to which the client belongs.
  • Specify the time interval by entering the number of days and months in the designated fields. This time interval determines the period between each invoice.
  • Define the start and end dates of the recurring invoices period.
  • Click the ‘Add New Record’ button to save the template. Additionally, from the same page, you can edit any previously entered templates using the displayed templates at the top of the page.

Note: Perform the above steps only once, and there is no need to repeat them.

 

Fifth: Executing a Sales Invoice for the Recurring Invoices Model:

After clicking on the Recurring Invoices button, follow these steps:

You will see a list containing all recurring invoice models, with an “Invoice” button next to each model, according to the time interval specified for each model. You can review the details of the model you want to use by viewing the sales order associated with the model and other data in the table. After verifying the data and selecting the model you want to use for issuing the invoice, click on the “Invoice” link at the end of the model, and you will be directed to the Recurring Invoices page. On the Recurring Invoices page, you will find details of the recurring invoice, including the invoice date, the covered period, and the model description.

Note: If the template includes a cash-paying client, the client’s payment will be automatically added when the invoice is executed.

  • After reviewing these details, you can simply click on the ‘Insert Invoice’ button to create the required sales invoice.”
